Terms & Conditions

These Terms apply to all services provided by X Productions Media LLC (UAE) and X Productions Media Pvt Ltd (Pakistan) (“we”, “us”), and to your use of xproductionsmedia.com. Your project is contracted with the company named on your quote or invoice. By accepting a quote or paying a deposit, you (“the Client”) agree to these Terms.

1. Quotes and bookings

1.1 Quotes are valid for 30 days from the date issued. 1.2 A project is confirmed once we receive written acceptance of the quote (email or WhatsApp is fine) and the deposit. 1.3 The quote sets out the agreed scope: deliverables, shoot days, locations, crew and number of revisions. Work outside that scope is quoted and charged separately.

2. Payment

2.1 A 50% non-refundable deposit is due to confirm the booking and secure dates. 2.2 The remaining balance is due before delivery of the final files. 2.3 Final, unwatermarked files are released once full payment is received. We may share watermarked or low-resolution previews for review before then. 2.4 Prices are in AED for UAE projects and PKR for Pakistan projects, exclusive of VAT and other taxes where applicable. 2.5 Travel, accommodation, permits, location fees, talent and third-party costs are charged at cost unless the quote includes them. 2.6 Late payments may delay delivery, and we may pause work on projects with overdue invoices.

3. Client responsibilities

Delays caused by late materials or feedback may move delivery dates and can incur extra charges.

4. Revisions

4.1 Each project includes 2 rounds of revisions unless the quote says otherwise. 4.2 A revision round is one set of consolidated changes to the existing edit or design: for example trimming, reordering, text changes or colour tweaks. 4.3 Changes to the agreed concept or script, re-shoots, or extra revision rounds are charged at our standard rates. 4.4 If we don’t receive feedback within 14 days of sending a draft, the draft is considered approved.

5. Delivery

5.1 Delivery timelines in the quote are estimates and depend on receiving materials and feedback on time. 5.2 Final files are delivered digitally in the formats agreed in the quote. 5.3 We keep project files for 90 days after delivery. After that we may delete them; restoring or re-exporting archived files may be charged.

6. Rescheduling and cancellation

6.1 Rescheduling: shoot dates can be moved once at no cost with at least 7 days’ notice, subject to availability. Later changes may incur crew and equipment costs already committed. 6.2 Cancellation by the Client: the deposit is non-refundable. If cancelled after pre-production or the shoot has started, the Client pays for all work done and costs incurred up to that point. 6.3 Cancellation by us: if we have to cancel for reasons within our control, we’ll refund all payments for work not yet carried out. 6.4 Weather and outdoor shoots: if conditions make a shoot unsafe or impractical, we’ll agree a new date with you. Costs already incurred remain payable.

7. Ownership and usage rights

7.1 Once full payment is received, the Client receives the right to use the final delivered work for the purposes agreed in the quote, such as social media, website, broadcast or internal use. 7.2 Unless agreed otherwise in writing, we keep ownership of raw footage, unused material and project files. These can be purchased separately. 7.3 Licensed music, stock footage and fonts are licensed for the agreed use only. Broadcast (TV), paid advertising or extended usage may require additional licence fees. 7.4 Portfolio: we may show the final work, and behind-the-scenes images, in our portfolio, website and social media, unless the Client asks us not to in writing before the project starts (for example for confidential internal content).

8. Liability

8.1 We take great care with all equipment, footage and data, and keep backups during production. 8.2 Our total liability for any claim relating to a project is limited to the amount the Client has paid for that project. 8.3 We are not liable for indirect losses such as lost profits, lost business or reputational harm. 8.4 If a shoot cannot go ahead because of serious illness, equipment failure or other circumstances beyond our control, we’ll offer to reschedule or refund amounts paid for undelivered work. This is our full liability in such cases.

9. Events beyond our control

Neither party is responsible for delays or failures caused by events outside its reasonable control, such as natural disasters, government restrictions, power or internet outages, strikes or civil unrest. We’ll work together to reschedule.

10. Confidentiality

Both parties will keep confidential any non-public business information shared during the project, and use it only for the project.

13. Changes

We may update these Terms from time to time. The version in effect when you accept a quote applies to that project.
